KPS Summer Run 2023 

The KPS is organising a Summer Run again this year and all employees and their family members are cordially invited to take part.

Conditions of participation

1. Eligibility

    1. All KPS employees and their family members are eligible to participate.

2. Registration

    1. Registration for the Summer Run takes place via a web form on the Internet, available at https://summer-run.kps.com/, using the KPS e-mail address.
    2. When registering, the required personal data must be given truthfully and completely. By registering, the participant agrees to the conditions of participation.
    3. You are obliged to ensure that the family members you have registered want to take part in the event and that you are entitled to accept the conditions of participation for your family members.

3. Implementation of the event

    1. Participation is possible from 7 July to 23 September 2023.
    2. Participants will run kilometres during this period, which they can record at https://summer-run.kps.com. The information about the kilometres run must be truthful.
    3. Depending on the total number of kilometres run by all participants, KPS will donate the proceeds to a charitable organisation selected by KPS.

4. Voluntariness

    1. Participation in the Summer Run is voluntary for all employees and their family members.
    2. The Summer Run is a voluntary action on the part of KPS without thereby creating a legal claim for the future. The management of KPS reserves the right to decide each year whether and in what form a Summer Run will be held.
Data protection information

We, KPS AG (hereinafter: “KPS” or “we”), take the protection of your data very seriously and would like to inform you with this data protection notice about how we process your data in connection with the KPS Summer Run 2023 event.

  1. Name and contact details of the controller

  1. Subject matter, purpose and legal basis of processing

We process your data in the context of the KPS Summer Run 2023 as follows:

(a) Registration data including website usage data

The data you provide when you register will be processed. This is in particular your contact data such as name, e-mail address and associated KPS location including country.

When you register via the web form and for any further use of the website, we also store information for the technical provision and processing of the website. This information includes the IP address of the requesting computer, together with the date, time, request, which file is requested (name and URL), the amount of data transferred to you, a message as to whether the request was successful, identification data of the browser and operating system used, as well as the website from which access was made (should access be via a link). Furthermore, we use a technically necessary session cookie to store a reference value to your current session on the server to be able to assign login processes and entered data to the respective user. This cookie is deleted when the browser is closed.  

The data is used exclusively for the following purposes:

– Organisation and implementation of the Summer Run

– Communication in connection with the Summer Run

The legal basis for the processing of your registration data is the organisation and implementation of the Summer Run by Art. 6 para. 1 lit. b DSGVO, for which the participant has registered.

(b) Run data

If you enter running data such as, in particular, kilometres run including the day of the individual runs in the web form, this data will also be processed by us to organise the Summer Run.

The legal basis for the processing of your running data including the use of the web form is the implementation of the event by Art. 6 Para. 1 lit. b DSGVO for which the participant has registered.

(c) Photos

You also have the option of uploading photos of yourself in connection with your runs to the web form so that we can publish the photos on the intranet to report on the event. If you change your mind later, you can withdraw your consent at any time and we will delete your photos.  

The legal basis for the data processing is your consent given with the upload according to Art. 6 para. 1 lit. a DSGVO.

  1. Data transfer

The data will not be passed on to third parties.  

  1. Storage period

The personal data will only be stored for as long as is necessary for the organisation, implementation and handling of the Summer Run. Afterwards, the data will be deleted. The photos on the intranet will be stored until withdrawn.   

  1. No automated decision making

We do not intend to use any personal data collected from you for any automated decision-making process (including profiling).

  1. Data subject rights  

By the applicable data protection law, you are entitled in particular to the following data protection rights:

  • Right to information: you have the right to request information about your data stored by us at any time.
  • Right to rectification: when we process your data, we will endeavour to take reasonable steps to ensure that your data is accurate and up to date for the purposes for which it was collected. If your data is inaccurate or incomplete, you may request that it be rectified.
  • Right to erasure and restriction: you may have the right to request the erasure or restriction of the processing of your data if, for example, there is no longer a legitimate business purpose for such processing under this privacy notice or applicable law and legal retention obligations do not prevent further storage.
  • Right to data portability: you may have the right to obtain the personal data concerning you that you have provided to us in a structured, commonly used and machine-readable format or to transfer this data to another controller.
  • Right to object: you have the right to object at any time, on grounds relating to your particular situation, to the processing of your data carried out based on Article 6(1)(f) DSGVO. We will not process your data after an objection unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing serves the purpose of asserting, exercising or defending legal claims (so-called “limited right of objection”).
  • Right to withdraw the consent given: insofar as the processing of your data is based on your consent according to Art. 6 para. 1 lit. a DSGVO, you have the right to revoke your consent at any time with effect for the future. Processing that took place before you revoked your consent remains unaffected by the revocation.
